Every Fair has the same needs or budget
Fair
Type 1 Some Fairs operate from
year round offices with a full time manager, computer
network and a budget to match. All aspects of running
the Fair, including concessions, donations and entries
are handled by this person using a computer system that the Agricultural Society owns.
Around Fair time additional helpers are hired or
volunteer to work in the office, usually recording
entries from exhibitors. The data to produce winners'
cheques is usually transferred to a generic type
Accounting Program from MS Excel or other spreadsheets
after the Fair.
Fair
Type 2 Many Fairs, however; are not
like that. The Fair Person (Secretary or Treasurer or
Manager) works part time from home most of the year
and moves his or her personal computer to the
Agricultural Society Office at Fair time. Concessions
and sponsorships are handled, usually manually, by
others. There may be additional volunteer
help in the office around Fair time. Sometimes winners'
cheques are prepared at a
typewriter after the results are tabulated using a
spreadsheet.
There are
many sub classifications of the above Fair
Types, but I'm sure you get the idea.
Strange as it might seem the two Fairs described above
could be roughly the same size. It would appear that
these Fairs have little in common besides their size.
However
They
both need an affordable, reliable and
user-friendly way of looking after their members,
exhibitors, fees, events, prizes,
winners, results, statistics and more. In other words,
those parts of an Agricultural Fair that makes it
different from a carnival.
